Let me simplify this a little bit:
Don't sign up unless you know that you can play on the first said date.
That first date is the only one that we need to be very strict about. After Round One, players will have more leeway for scheduling their own matches.

I will not tell you my corner / where threads don't get locked because of mostly no reason /
because I don't want your hostile disease / to spread all over the world.
I prefer that corner to remain hidden /

As I see it as a shame to leave a tournament half played. How you would like to handle the next rounds . Will they have to be played and finished before Christmas... during the holiday season?
Could you think about to define some standart timer setting for the maps you will chose ?
Some of the top players startegy is to put the opponent to sleep moving sloooooowlllllyyy and checking an rechecking and checking and checking their moves.
Skill is although to know what will work and not try every possible move combination
